The standard rate wins by $1,453 here, and it needs a mileage log rather than a shoebox of receipts. High-mileage drivers in efficient, paid-off vehicles are the classic case for it.

What this calculator does

Business miles, total miles, the standard rate for your year, and every actual cost of running the vehicle go in. It returns your business-use percentage, both deductions side by side, your true cost per mile, the break-even mileage, which method wins and by how much, and roughly what the winning method is worth in tax at your marginal rate.

The standard rate is an input rather than a lookup, so this page is correct in any year — you get the rate from the published figure for the year you are claiming.

Two methods, one choice

The standard mileage rate pays a fixed amount per business mile. It is meant to cover everything: fuel, insurance, repairs, maintenance, registration and depreciation. You log miles; you multiply.

Actual expenses takes what the vehicle genuinely cost you over the year and deducts the business-use share of it.

Neither is inherently better. The comparison hinges on one thing: how your real cost per mile compares to the standard rate.

What drives the answer

Cost per mile is total operating cost divided by total miles, and it moves enormously with two variables.

Miles driven. Insurance, registration and depreciation are largely fixed — you pay them whether you drive 5,000 miles or 30,000. Spread over few miles, cost per mile is high and actual expenses win. Spread over many, cost per mile falls below the standard rate and the standard rate wins.

Vehicle cost. An expensive vehicle depreciates in absolute dollars far faster than a cheap one. A luxury SUV can easily cost more than a dollar a mile at moderate mileage; a paid-off compact might run thirty cents.

Which produces two clean archetypes:

  • High miles, cheap and paid-off car → the standard rate wins, often by a lot. The rate is paid per mile regardless of whether your car actually costs that much, so an efficient old vehicle earns more than it spends.
  • Low miles, expensive or leased vehicle → actual expenses win, because fixed costs dominate and there are few miles to spread them over.

Depreciation is the line people forget

When someone estimates their actual expenses and concludes that the standard rate is better, they have usually left out depreciation.

Depreciation is frequently the largest single cost of owning a vehicle, and it is invisible because no money leaves your account. Fuel is a receipt. Depreciation is a number your car quietly loses while parked.

For a vehicle bought new, it commonly exceeds fuel and insurance combined in the early years. Leave it out and the actual method looks far worse than it is.

The switching trap

This is the part worth knowing before you file for the first year, because it is difficult to undo afterwards.

The choice between methods is not free every year. The rules constrain switching, and in particular, electing actual expenses with accelerated depreciation in the first year a vehicle is placed in service can prevent you from using the standard rate for that vehicle for as long as you own it.

The consequence is asymmetric. Choosing the standard rate in year one generally preserves flexibility. Choosing actual expenses in year one can foreclose it.

Since the standard rate is often better in later years — as the vehicle depreciates, actual costs fall while the rate does not — locking yourself out of it is a real cost. Run the comparison in year one, and if the two are close, understand what each choice does to years two through eight.

Record-keeping is the actual requirement

Both methods need documentation, and the standard rate needs less of it, which is a large part of its appeal.

For either method you need total miles for the year — odometer at the start and end — and business miles from a contemporaneous log: date, destination, purpose, miles. Contemporaneous means kept as you go. A log reconstructed in March from calendar entries is the single most common thing disallowed in a vehicle deduction audit.

For actual expenses you additionally need every receipt: fuel, insurance, repairs, maintenance, registration, and documentation supporting depreciation.

Modern mileage-tracking apps have made the log part nearly automatic, which has quietly shifted the calculus toward whichever method the numbers favour rather than whichever is less work.

What counts as a business mile

The distinction that matters most: commuting is not business travel. Home to a regular workplace is personal, however far it is.

But if your home is your principal place of business — which the home office calculator discusses — then trips from home to clients and job sites generally do count, and the first and last trip of the day stop being commutes.

That single fact often makes the home office question and the vehicle question two parts of the same decision for a self-employed person.

What this leaves out

  • The standard rate itself. You enter it for the year you are claiming.
  • Depreciation limits on passenger vehicles, which cap the annual amount.
  • Lease inclusion amounts, which reduce the deduction on expensive leases.
  • Section 179 and bonus depreciation elections, and the vehicle weight thresholds that govern them.
  • Employee versus self-employed treatment, which differs substantially.
  • State rules, which do not always follow the federal method.
  • Multiple vehicles, each of which needs its own calculation.

Frequently asked questions

Should I use the standard mileage rate or actual expenses?
Whichever gives the larger deduction, which depends on your vehicle and your mileage. High miles in an efficient, paid-off car favours the standard rate, because the rate is paid per mile regardless of what the car actually costs you. Low miles in an expensive vehicle favours actual expenses, because fixed costs like depreciation and insurance get spread over few miles.
How do I calculate business use percentage?
Business miles divided by total miles driven for the year. Both numbers need to be real — the total comes from odometer readings at the start and end of the year, and the business figure comes from a contemporaneous log. Estimating either one after the fact is exactly what an audit looks for.
What counts as a business mile?
Travel between business locations, to clients, to temporary work sites, and for business errands. Commuting between home and a regular place of work generally does not count, no matter how far it is. If your home is your principal place of business, the trip from home to a client usually does count, which is a large distinction for the self-employed.
Can I switch between mileage and actual expenses?
Not freely. The rules constrain switching, and electing actual expenses with accelerated depreciation in the first year a vehicle is placed in service can lock you out of the standard rate for that vehicle permanently. Because the constraint bites at the start, the choice is worth making deliberately in year one rather than discovering it in year three.
Do tolls and parking count under both methods?
Yes. Business tolls and parking are deductible in addition to whichever method you use — the standard rate covers operating and ownership costs, not those. Parking tickets are not deductible, and neither is parking at your regular place of work, which is commuting.
